Event Overview
Jointly organised by the SingHealth Duke-NUS Cell Therapy Centre (SDCT) and Regenerative Medicine Institute of Singapore (REMEDIS), the SDCT-REMEDIS Cell Therapy Conference 2022 featured talks on the latest developments in cell-based immunotherapy and regenerative medicine by both local and overseas experts. AveLIVE was honoured to be both the event management and virtual platform partner for this innovative conference, working closely with the organising team to plan and deliver on various aspects from March to June 2022.
Key Solutions and Services
Pre-Event Registration and Abstract Management System
Create a first good impression with a professional Landing Page
Our collaboration started early in March 2022, in getting the pre-event Landing page with Registration up and running. We began with in-depth discussions and iterations on branding, logo design and overall palette, look and feel of the virtual event, before transforming them into website designs. To empower the organising team in monitoring the signups, our team also implemented an Admin Dashboard that provides real-time updates regarding the registration status.
Seamlessly track and evaluate abstracts with Abstract Management System and Judge Dashboard
The organising team also invited researchers to submit their abstracts, which would be evaluated by a panel of judges before the Award Ceremony taking place at the end of the conference. As such, we also provided an Abstract Management System, where we gathered submissions from the Landing Page under the Admin Dashboard for the organising team's tracking, and created a Judge Dashboard for the judges' use where retracted abstracts were uploaded.
Pre-Event Speaker Liaison and Briefing
Coordinating with experts based across the world for the live conference was no easy feat. The organising team also entrusted us with liaising with esteemed speakers and moderators to provide briefing materials and rehearsals to ensure the event flow on D-Day is smooth with minimal technical hiccups.
Virtual Conference Platform
Welcome attendees with virtual Lobby and customised Attendee Profile
Upon entering the site on D-Day, attendees were greeted with a professional virtual Lobby where they could access various areas on the platform, including the Customer Support Live Chat.
To make the experience seamless and minimise time for onboarding, we also synced attendees' information from our registration system to individual Attendee Profile, while giving them the flexibility to update and add a profile image. Here, attendees may also find a Virtual Goodie Bag, consisting of exclusive materials from the organising team and their sponsors.
Livestream programmes concurrently at 2 virtual Auditoriums
Being one of the most highly anticipated conferences in the cell therapy scene, the programmes and talks were the most important aspect of the event. On the platform, delegates may view these livestream sessions at the virtual Auditoriums, where they can also ask questions via the Live Q&A tool. Moderators were also provided with their own Q&A Dashboard interface to view, moderate and select questions for the discussion.
Given the concurrent livestream programmes, attendees may also view the event Agenda and Speaker details on the platform to plan their schedule and learn more about the session.
Spotlight sponsors and abstracts at Exhibition Hall and Poster Hall
We also helped the organising team to spotlight key sponsors through brand integration at various steps of platform design, as well as through the Exhibition Hall. Delegates may click into each booth at the hall to arrive at a dedicated Virtual Booth page for each sponsor, where they can interact with the representatives via live chat and virtual chat room, and view important information displayed such as booth materials, video and image gallery and so on.
To view the top posters, attendees may also access them at the Poster Hall. Each poster also had its own Poster Booth for delegates to view the abstract in detail, along with the video presentation from the researchers.
Form new connections through Networking Area
With the objective to connect passionate scholars and researchers in the field, the organising team would also like to have a Networking Area on the platform, where delegates could filter attendees based on their professions and reach out to network via Live Chat.
Create memories at the white-labelled virtual Photo Booth
What better way to remember the event than taking home a small keepsake such as a photo? We also provided a customised and fully white-labelled Photo Booth for attendees to take pictures of themselves while attending the conference. They also have the option to create a short boomerang, change filter and add stickers to the final product!
D-Day Speaker Coordination and Livestream Management
Our collaboration with the SDCT-REMEDIS Cell Therapy Conference organising team was extensive. We had the opportunity to also support the team for speaker coordination on D-Day, as well as managing the two concurrent livestream programmes, on top of overseeing and monitoring the platform activity.
The programme covers various formats, such as pre-recorded presentations, live panels, keynotes, oral abstract presentations as well as a memorable award presentation at the end!
Thank you...
It was our pleasure to be able to support such an innovative and impactful event, as well as working closely with the organising team to manage and create great memories for the delegates. From branding, design, speaker liaison, virtual platform provision and livestream management, we have together gone through a whole spectrum of making such a large-scale virtual experience possible!
